Explanatory Notes:
1. Out of pocket cost is the amount that you are left ‘out of pocket’ after paying the fee but then receiving a Medicare rebate.
2. Telehealth fee rate only applies if the session was specifically booked as Telehealth. Telehealth sessions are not usually booked during Clinic (Kenmore & The Gap) service hours. Should you ask to convert a Clinic appointment to an appointment via Video Call usual Clinic fees will apply.
​3. A Standard Consultation is one that occurs during business hours (8:30am-5pm). An Out of Hours Consultation commences before 8:30am or after 5:00pm.
4. The Medicare rebate quoted relates to a GP referral under the Medicare Better Access Initiative for a consultation of at least 50 minutes duration.
5. Fees quoted above are for a 50 minute consultation with up to an additional five minutes allocated for billing and rebooking (a total of 55 minutes). Fees are payable at the time of consultation.
​6. Fees quoted are relevant when paid by the client (or carer) at the time of consultation. Otherwise, higher fees and/or administrative fees may apply. 
​7. Outside of room consultations (e.g. Home Visit, School Visit) are considered on application to clients located in The Gap and some neighbouring suburbs. Price is on application so that all of the varying factors (e.g. travel time) as per the relevant client request can be considered in the fee. The Medicare rebate quoted is for a 50 minute consultation.

Cancellation Fee Explanatory Notes: 
a) The cancellation fee will be waived where the appointment is able to be assigned to another client so as much notice as possible is appreciated.
b) The cancellation fee will be waived if you are able to rebook into an alternate time within the same week.
c) The cancellation fee may be waived if extenuating circumstances apply for the cancellation.
d) The cancellation fee will be waived for a same day cancellation, on the grounds of illness, for an in-clinic appointment, however, a medical certificate may be requested.
e) No cancellation fee will apply if you convert your in-clinic booking to a Telehealth appointment.
f) The cancellation fee may be waived for a same day cancellation for a Telehealth appointment, on the grounds of illness, however, a medical certificate may be requested.
g) Our cancellation fees remains relatively modest. Many practices are now charging a cancellation fee if less than 48 hours’ notice is given and the full fee is being charged.
h) Cancellation fees not paid according to the terms of payment (timeframe) will incur a late payment fee (further information will be on the invoice that is sent).
​i) Cancellation fees do not qualify for a Medicare rebate (i.e. no Medicare rebate applies). 
j) Not replying to your confirmation SMS does not constitute cancelling your booking. 

A Psychology practice charges a Cancellation Fee for a number of important reasons: 
1. Running a Psychology practice involves ongoing costs; missed appointments still incur these costs, so cancellation fees help ensure the practice remains financially viable. 
2. When a session is booked, that time is set aside specifically for you, and in the case of a Psychology session that time is usually 50-60 minutes. Cancelling with short notice or not attending at all (e.g. no show) means the Psychologist often cannot fill that time with another client. This results not only in lost income for the practice but often results in a lost opportunity for another client as they have not had enough notice to manage their schedule to be able to attend the appointment. 
3. At Treehouse Psychology we cap the number of clients we accept at any one time to assist current clients to attend appointments within a therapeutically appropriate time frame to receive consistent care. This means that we have a finite number of clients to whom we can offer cancelled appointments. Additionally, we may not be able to reschedule your appointment earlier than some weeks hence impacting your therapy experience.
